At Rank Bix SEO, your privacy matters to us. This policy explains what information we collect, why we collect it, and how you can control it. It applies when you visit rankbix.com, use our free online tools, contact us for support, buy a Pro licence, or use the Rank Bix SEO WordPress plugin. We are based in the UK, and we are the controller of the personal data described here.

1. Information We Collect

We only collect what we need. Here is what that looks like in practice.

Information you give us directly:

• Your name and email address when you contact us or send a support request
• Your website URL if you share it for support or troubleshooting
• Your customer account details when you buy a Pro licence: name, email address, billing address and order history
• Any details you include in a support message

Card payments are handled by Stripe. We never see or store your full card number.

Information created when you buy and use Pro:

• Your licence key, its status and expiry date
• The site URLs where you have activated your licence

Information collected automatically when you visit our website:

• If you accept analytics cookies, Google Analytics records pages you visit, how long you stay, where you came from, and your browser and device type
• Our web server keeps standard logs, which include your IP address, for security and troubleshooting
• When you use the free Page Analyzer, our server fetches the URL you enter, and a hashed version of your IP address is kept for 10 minutes to apply a rate limit

2. How We Use Your Information

We use your information to run and improve our services:

• To reply to your support requests and bug reports
• To process Pro licence purchases, renewals, and activations
• To deliver Pro plugin updates and check that a licence is valid
• To send receipts, renewal reminders and security advisories (you can unsubscribe from non-essential emails at any time)
• To understand how our website is used so we can improve it, if you agree to analytics cookies
• To detect and prevent fraud, spam, or abuse
• To meet legal and regulatory requirements

Under UK data protection law we need a lawful basis for each use:

• Contract: processing your order, managing your account, licence activation, update checks and support for Pro customers.
• Legal obligation: keeping financial and tax records.
• Consent: Google Analytics cookies and any marketing emails. You can withdraw consent at any time.
• Legitimate interests: website security, preventing abuse, server logs, and replying to people who contact us before buying.

3. Plugin Data and Your WordPress Site

The Rank Bix SEO plugin runs on your own WordPress server. Everything it stores, including SEO titles, meta descriptions, redirect rules, sitemap settings, schema configuration, 404 logs, and all plugin options, lives in your own WordPress database. We have no access to it.

• The plugin has no usage tracking or telemetry. It does not report how you use it.
• If you use Pro, the plugin contacts rankbix.com when you activate or deactivate your licence and when it checks for updates. These requests send your licence key, your site URL, the plugin version, and your WordPress and PHP versions. We use this only to validate your licence and deliver updates.
• We only see other diagnostic information if you copy it and send it to us in a support message.
• You own and control everything the plugin stores. It is yours.

Some plugin features connect your site to other services, but only when you turn them on:

• IndexNow: sends the URLs of new or updated content to IndexNow search engines such as Bing and Yandex.
• Google Search Console (Pro): connects to your own Google account through Google's sign-in (OAuth). The data goes between your site and Google; it does not pass through us.
• Cookie consent (Pro): the consent log is stored in your own database and does not store visitor IP addresses.

4. AI Features and API Keys

Rank Bix SEO lets you connect your own API keys from OpenAI, Anthropic Claude, Google Gemini, Groq, Cohere, or any OpenAI-compatible service to power its AI features. Here is what you should know:

• Your API keys are stored in your own WordPress database and are never sent to us.
• The AI features send content straight from your site to the provider you choose, and only when you start an AI task. That includes jobs you queue in the AI Post Writer, which run later in the background through WP-Cron. Nothing is sent to an AI provider unless you started it.
• You can limit what gets sent in Rank Bix SEO → Settings → Tools by turning off "Allow sending post content to AI providers". The post title is then the only content shared.
• Each AI provider has its own privacy policy. We recommend reading it before you start using a provider.

5. Data Sharing

We do not sell, rent, or trade your personal data. There are three limited situations where we may share information:

Service providers. We use a small number of companies to run our business, listed in the next section. They can only use your data to provide their service to us.

Legal obligations. If we are required to share information by law, a court order, or a regulatory authority, we will do so.

Business changes. If Rank Bix SEO is ever sold or merges with another business, your information may be part of that transfer. We will tell you if this happens.

6. Third-Party Services

Our website and plugin use these services:

• Stripe: takes card payments at checkout. Stripe processes your payment details under its own privacy policy.
• Easy Digital Downloads: the software that runs our shop on rankbix.com. Your customer account, orders and licence keys are stored in our own website database.
• Google Analytics 4: website statistics, only if you accept analytics cookies.
• YouTube: the demo video on our pricing page uses YouTube's privacy-enhanced mode (youtube-nocookie.com). YouTube may still store data in your browser once you press play.
• Email: we use email to send receipts and reply to support requests.
• WordPress.org: distributes the free plugin and hosts its support forum and reviews.
• AI providers, IndexNow and Google Search Console: used by the plugin only as described above, and only when you turn them on.

Each service has its own privacy policy and is responsible for how it handles data on its side.

7. International Transfers

Some of our providers, including Stripe and Google, may process data in the United States. When that happens, the transfer is protected by the UK's adequacy rules, including the UK-US data bridge for certified companies, or by the UK International Data Transfer Agreement (IDTA) or equivalent safeguards.

8. Cookies, Analytics and Browser Storage

Here is what our website stores in your browser:

• Essential cookies: WordPress and Easy Digital Downloads set cookies to keep you logged in to your account and to keep your cart working at checkout. Stripe may set cookies during payment to prevent fraud.
• Analytics cookies: Google Analytics cookies (named _ga and similar) are only set if you accept them in our cookie banner. You can change your choice at any time.
• Local storage: if you close the notice bar at the top of the site, your browser remembers that so it stays closed. The Page Analyzer also keeps recent results in your browser so they load faster. This data stays on your device and is not sent to us.

We do not use cookies for advertising or to build a profile of your browsing. You can also block or delete cookies in your browser settings. Blocking essential cookies may stop login and checkout from working.

9. Data Security

We take reasonable steps to protect your information. Our website uses HTTPS. Access to personal data is limited to the people who need it. We use a reputable payment processor and do not store card details ourselves.

That said, no online service can guarantee complete security. You are also responsible for keeping your WordPress admin account, hosting environment, and any API keys secure.

10. Data Retention

We keep your information only as long as we need it:

You can ask us to delete your personal data at any time by contacting us (see Contact Us). If a legal requirement means we must keep certain records, we will tell you.

11. Your Rights

Under UK data protection law you have rights over your personal data. You can ask us to show you what we hold, correct anything that is wrong, delete your data, restrict how we use it, or give you a copy in a portable format. You can also object to certain types of processing, or withdraw consent at any time without affecting anything that happened before.

If you are unhappy with how we handle your data, please tell us first so we can try to put it right. You also have the right to complain to the Information Commissioner's Office (ICO), the UK data protection regulator, at ico.org.uk. If you live in the European Economic Area, you can contact your local data protection authority.

12. Children's Privacy

Rank Bix SEO is designed for website owners, developers, and digital marketers. It is not intended for children under 16. If you think we have accidentally collected information from a child, please contact us and we will delete it straight away.

13. Changes to This Policy

We update this policy when our practices change or the law requires it. When we do, we will post the new version on this page and change the date at the top. For significant changes, we will also email customers or show a notice on our website.
